Maintain global onboarding parameters with the Onboarding Options form.

Complete All Forms to Activate Payroll

Define the system default option for allowing employees to be added to payroll before all onboarding‑related forms in their workflow are completed.

 

When the Complete All Forms to Activate Payroll field on the Control tab on the Client Details form is set to System Default, the system uses this option to determine whether the client's employees can be added to payroll before all onboarding-related forms in their workflow are completed.

 

When the Complete All Forms to Activate Payroll field on the Control tab on the Client Details form is set to Enabled or Disabled, the system uses the setting in that field to determine whether the client's employees can be added to payroll before all onboarding-related forms in their workflow are completed.

Enable Benefit Enrollment After Final Submit

Define the system default option for allowing employees to access their benefit enrollment workflow through Onboarding after submitting all onboarding‑related forms.

 

When the Enable Benefit Enrollment After Final Submit field on the Control tab on the Client Details form is set to System Default, the system uses this option to determine whether the client's employees can access their benefit enrollment workflow through Onboarding after submitting all onboarding‑related forms.

 

When the Enable Benefit Enrollment After Final Submit field on the Control tab on the Client Details form is set to Enabled or Disabled, the system uses the setting in that field to determine whether the client's employees can access their benefit enrollment workflow through Onboarding after submitting all onboarding‑related forms.

Disable Pay Rate Change Approval for Rehire

Disable approval requests for rehire pay rate changes on the Pay tab on the Employee Details form.

Suspend Workflow When "Onboarding in Progress" Manually Unchecked

Enable this option to suspend employee onboarding workflows when the Onboarding in Progress option on the Other tab on the Employee Details form is manually disabled.

 

If this option is disabled and a manager also disables the Onboarding in Progress option, the employee onboarding workflow stays in progress.

Allow Upload of Supporting Documents (I-9)

Define the system default option for allowing employees to upload supporting I-9 documents during the I-9 workflow.

 

When the Allow Upload of Supporting Documents (I-9) field on the Control tab on the Client Details form is set to System Default, the system uses this option to determine whether the client's employees are allowed to upload supporting I-9 documents.

 

When the Allow Upload of Supporting Documents (I-9) field on the Control tab on the Client Details form is set to Enabled or Disabled, the system uses the setting in that field to determine the client's employees are allowed to upload supporting I-9 documents.

Archive Prehire Workflows for Terminated Employees Older Than

Select the number of months after which prehire records and onboarding workflows for terminated employees are archived. By default, 12 Months is selected.

Note:  A number of months that is shorter or longer than the onboarding window length can be selected using this option.

To also archive onboarding workflows for active employees and employees on leave of absence, in addition to terminated employees, select the Include Non-Terminated Employees check box. When this check box is selected, a message displays to indicate that existing workflows will be archived and that electronic onboarding will be unable to continue for the affected employees. However, completed onboarding documents will remain available as normal.

 

After a prehire record or onboarding workflow has been archived, the record can be restored using the Workflow Maintenance form. See Maintaining Workflow Actions.

Enable Logging in Rules Engine

Enable this option to turn on logging.

When you select this option and the system creates a prehire record, a trace logging file is also created for the prehire record if the employee for whom the prehire record was created is assigned an Onboarding workflow that includes forms to which business rules are applied. (Disable this field to prevent the system from creating the trace logging file for the prehire record, which can increase performance.)
