Enabling Spanish

Viewing Default Forms Translations

PrismHR includes default employee-facing forms in Spanish for the onboarding process.

Custom forms are translated by the user (see Configuring the Custom Forms in the Form Library).

Enabling Spanish for the Onboarding Process

To enable Spanish:

1. To enable Spanish, go to the Global Configuration form, and select the Enable Additional Languages field.

2. Click Save.
3. In the New Hire form, enter the required information and select Spanish in the Preferred Language field.

4. Click Save.

Configuring the Custom Forms in the Form Library

Use the Form Library to build custom forms in Spanish.

To use the Form Library:

1. From the Form Library, click Create New Form. The Create New Custom Form displays.

2. Enter the Form ID.
3. When you click in the Form Name field, the Form Name form displays, Enter Form Name in English and then in Spanish.
4. Click Save.
5. Enter the Description and Workflow Type.

6. Click Continue.
7. Enter the Form Symbol in the Form Symbolfield.

8. Click Save.
9. Select when the change needs to go into effect.

10. Select Submit Form.
11. Click Done.

Creating a Workflow in Spanish

Use the Workflow Library form to manage the workflow.

To use the workflow library:

1. Go to the Workflow Library form.
2. Click Create New Workflow.

3. The Create New Workflow form displays. Enter the ID, Name, and Workflow type.
4. Click Save.
5. Select the Process tab.

6. Select the pencil icons to overwrite the form in Spanish. Enter a field label in Spanish.

7. Click Save.
8. Select the Forms and Documents tab.

9. Select the forms to include in the workflow by moving them from available items to selected items.

Note: Form names in the workflow can be in English and Spanish.

10. Click Save.

Working with the Custom Form Library in Spanish

1. Go to the Form Library. Click Create New Form.
2. Enter Form ID, Form Name, Description, and Workflow Type.
3. Click Continue.
4. Select the Layout tab. The Edit Custom Form displays.

5. To edit a form, drag the form from the Field Type left column to the Field Label section on the right.
6. Click Update. The Configure checkbox form displays.

7. Enter the Field label in English and Spanish.

8. Click Done.
9. Configure the existing form by selecting the pencil icon.

10. The Configure checkbox form displays. You can customize the Field Labels in both English and Spanish.
11. Click Done.

Working with PDFs in Spanish and English

You can configure custom forms in Spanish (including PDFs) in the Form Library.

1. In the PDF Integration section in the Form Library, you can upload English or Spanish PDFs.
English: Select Upload English PDF.
Spanish: With Spanish selected, select Upload PDF.

Note: You must select Upload English PDF first and then select Spanish Upload PDF.

2. Click Save.
3. If there is a mismatch of fields, an error message displays when the form uploads. For example:

Changing the Language While Reviewing a Form

While reviewing forms in the Form Library, you can change languages by selecting a language from the Profile drop-down field.
