Running the Monthly ACA Eligibility Report

Note:  Client Access Group Security is enabled on this form.

Note:  This form supports entity-level security for Worksite Managers and Worksite Trusted Advisors, as defined on the Users > Actions > Data Security form.

Use this report to display month-by-month ACA eligibility information (hours) for specific clients and employees. An employee is considered full-time if they worked an average of 130 hours or more per month.

Procedure

To run this report:

1. Open the Work Centers menu.
2. Under Work Centers|Compliance, select ACA Processing.
3. From the ACA Reporting column, select ACA Eligibility Report (Monthly Summary).

Worksite Managers and Worksite Trusted Advisors can access this report through Reports > HR | Report > ACA Eligibility Report (Monthly Summary).

4. In the Clients grid, specify the clients you want to include on the report. You must specify at least one client.
5. Set the Report Start Date and Report End Date. This is the date range of data included on the report. The start and end dates must be at least 3 months apart and can be up to one non-calendar year apart.
6. If you only want to include data from large employers on the report, select Yes in the Large Employer? field. Specify the corresponding Large Employer Year.
7. Select the employee types you want to Include in Report. You can include all types, a specific type, or a specific type classification.
8. When ready, select Generate Report.

Report

The report generates with the following columns:

Column Name

For example: "A" for active, "T" for terminated, "L" for leave.

Type Class

F for Full-Time or P for Part-Time

Hire Date

System-supplied employee hire date

Monthly Columns

These columns display employee hours paid or worked for a given month in the report date range.

 

The system uses the Hours Paid value for pay codes with their Calculation Method set to Standard and their Pay Reason set to Hourly.

 

For any other pay codes, the system uses the Hours Worked value.

Health Coverage

Y if the employee is currently enrolled in a medical benefit plan that has a Coverage Start Date prior to the end of the measurement period. Otherwise, N.

Waived

N if the Health Coverage column is Y.

 

Y if the employee:

is not enrolled in a medical benefit plan, and
has waived coverage under any other medical benefit plan with a Coverage Start Date prior to the end of the measurement period.

FTE

Whether or not the employee counts as a full-time equivalent for the purposes of ACA reporting.

 

Y if their average hours per month is greater than or equal to 130. Otherwise, N.
